Refund & Cancellation Policy

1. Overview and Philosophy

At Hub Vertex Core Co., Ltd., we maintain strictly capped cohort sizes (maximum 12 students per flagship lab) to ensure each participant receives comprehensive one-on-one chart diagnostic feedback. Because a reserved seat cannot easily be filled at short notice, our refund and cancellation terms balance student flexibility with the logistical commitments required for live instruction in Chiang Mai and virtual studios.

2. Refund Eligibility & Timeframes

Tuition refund eligibility is determined by the date on which written cancellation notice is received prior to the scheduled course start date:

14+ Days Notice (Full Refund): If you submit a cancellation request in writing at least 14 calendar days before the official start date of your cohort or workshop, you are eligible for a 100% full refund of tuition paid, minus standard bank/merchant transfer processing fees.
7 to 13 Days Notice (Partial Refund or Reschedule): Cancellations submitted between 7 and 13 calendar days prior to the start date are eligible for either a 50% partial refund or a 100% tuition credit applied toward any future cohort intake within 12 months at no penalty.
Less than 7 Days Notice (Non-Refundable): Cancellations submitted less than 7 calendar days before the course start date are non-refundable, as instructional materials, lab seat configurations, and instructor scheduling are finalized. However, you may transfer your enrollment to a qualified colleague or request a 1-time future cohort transfer subject to seat availability.

3. Non-Refundable Items & Services Already Rendered

The following items and services are strictly non-refundable once accessed or delivered:

Delivered 1-on-1 Mentoring Sessions: Completed private diagnostic sessions and completed trade log autopsies are non-refundable once the mentor consultation has taken place.
Downloaded Proprietary Workbooks: Access credentials or downloaded ATR calculation spreadsheets and historical database files once issued to the student.
Courses In Progress: Once a workshop or 4-week cohort has commenced (Week 1 session completed), tuition is non-refundable.

4. Rescheduling and Cohort Transfers

We understand unexpected professional or personal obligations arise. Students may request to reschedule their cohort enrollment without penalty by submitting written notice at least 7 days prior to the start date. Rescheduling requests made within 7 days of start may incur a ฿2,500 THB administrative rebooking fee to offset seat reallocation costs.

5. No-Show Policy

Students who fail to attend scheduled in-person lab sessions in Chiang Mai or live online cohort lectures without prior written notice forfeit that individual session. Recordings of all missed group lectures remain accessible through the student library for self-paced review.

6. Academy Cancellations & Force Majeure

In the rare event that Hub Vertex Core must postpone or cancel a workshop due to severe weather, facility infrastructure disruption, or instructor emergency, enrolled students will be offered the choice of an immediate 100% full refund or guaranteed priority placement in the next available cohort.

7. Refund Request Process & Processing Time

To submit a formal refund or rescheduling request:

Email our admissions desk at info@hubvertexcore.click with the subject line "Refund Request — [Your Full Name] — [Invoice/Order #]".
Include your registered email address, training program name, and reasons for cancellation.
Our administration team will acknowledge your request within 1 business day.

Processing Time & Method: Approved refunds are processed within 5 to 10 business days and returned via the original payment method (domestic Thai bank transfer / PromptPay or international telegraphic transfer).
